Outsourcing this critical business function allows you to have all of your IT needs met without the hassle or expense of hiring in-house workers to carry out the task. While outsourcing can certainly be a benefit, the practice can blow up in your face if you're not careful. Here are some important things to consider when you're outsourcing IT server management.


Don't let price be the deciding factor.

As a small business, adhering to a budget and managing your outgoing expenses is crucial. However, since IT servers are complex, going with the cheapest company is not always the best option. When a company charges prices that are way below the industry average, it should send red flags waving. The specialized skills necessary to maintai IT servers does not come cheap. Providing quality service is not likely a priority for a company that charges bargain basement prices.


Know what you are getting.

Many small businesses have been burned because they didn't know what they were paying for. Both you and the provider should be clear on what your IT server management package will include. Never assume a service is included. Doing so could cost your company valuable time and money because you entered into a contract that doesn't meet your needs. Get a service level agreement (SLA) in writing before you sign a contract. This way, you will know exactly what you are paying for. Instead, check the company out with the Better Business Bureau (BBB) to see if they have any unresolved complaints. Also, call the company and talk to a representative over the phone. If you know others with small businesses, ask them about their IT service provider. Do whatever footwork you need to do to make sure you're dealing with a reputable company.


Know your out.

What happens when the IT company you're using no longer meets your needs? Some companies charge harsh penalties and make you jump through a bunch of hoops to get out of your contract. The last thing you want is to be tied up in a messy contract battle with a bad IT management firm. Before you go forward with a server company, make sure you understand exactly what the penalty is for terminating your contract early. If the policies are too complicated, consider outsourcing with another company.


Know who to contact.

You rely on your IT service to keep your business running smoothly. When issues arise, and you are not able to contact anyone to resolve them, it can interfere with your organization's productivity. Know who you need to contact to have complaints and other issues taken care of. In addition, the IT company needs to be able to reach you just in case problems arise with your servers. Smooth lines of communication is an important aspect of outsourcing that is often overlooked.

An outsourcing service can work with your business to improve and streamline its IT functions. The last thing you want is to get burned by an IT server management company that's unprofessional or staffed with unqualified workers. Following the above practices will help you find an IT service provider who will meet the needs of your business.
