How to Submit a Press Release

A press release is a stated or recorded communication addressing members of media with the purpose of publicizing information that is newsworthy. Usually, they are faxed, mailed or e-mailed to editors at magazines, newspapers, radio and television stations and other media related agencies. Likewise, press release distribution is a manner used by individuals and companies to send newsworthy items to the media and public. A press release has many advantages such as the fact that it can improve a company’s rankings, increase its exposure on major search engines such as Google, Bing, Yahoo, etc while also generating internet user traffic and activate and signal search engine spiders.

A press release acts as an information bridge between a company or business professionals and journalists or editors, etc. Hence, after successfully writing a press release, a certain routine needs to be followed when it comes to submitting it. There are certain steps that need to be taken into account before a press release submission.

Firstly, one must ensure that the press release exhibits explicit contact details. It should give as much information as possible, which includes the address, phone numbers, fax numbers, email addresses and website. The contact information given should be loud, clear and correct in principle. Now that the press release is ready to be delivered and sent out to the public, one should identify the domain of the public that has to be targeted. Thus, it will prove useful if a list of all the possible contacts and people to send the release to can be made. This includes the entire pivotal role playing contacts in the local, national and international newspaper industry, TV and radio stations, and the relevant publications, press agencies and journalists, etc.

Having identified the contacts to send the release to, find whether they prefer to receive press releases by e-mail, mail or fax, and then prepare submissions accordingly. If one is sending press releases by electronic means, makes sure it is sent to either one contact at a time or just BCC (Blind Carbon Copy) the recipient list to make it appear more personal than in bulk. It is advisable to have the press release typed into the e-mail as opposed to affixing attachments.

Now that the press release has been submitted, one should follow up by calling the recipient and asking whether the release has been received and that one’s available for further information about the good, service or product, and interviews.
